Temporary 6 Months with potential converting to permanent subject to performance



£28,000 per annum

Reporting to

Director Level Manager


Main responsibilities

Successful candidates will be providing top level PA and team support and will also have a broad range of responsibilities, including:

·         Extensive diary management and co-ordination

·         Organising high level key meetings and conference/telepresence calls

·         Email and written correspondence management, directing incoming calls accordingly

·         Booking and coordinating travel arrangements, preparing detailed itineraries where required

·         Event & Conference organisation where necessary, both internal & external, which can include site visits, travel, coordinating meetings with agencies and suppliers, and managing budgets

·         Monitoring cost centre charges, mobile phone bills & other budgets, invoicing and Purchase Orders

·         Coordinating and preparing expenses & mileage

·         Project manage other key tasks which may fall outside of the PA remit


Additional Responsibilities

·         Liaising with customers, agencies and suppliers, and key relationship building with internal colleagues of all levels

·         Monitor and update the Company intranet site

·         Manage and update governance documents, updating and maintaining the organisation chart where required

·         Monitor & record holidays in the system, approving holidays on behalf of manager where required

·         To assist with presentations and any other administration as necessary

·         Assist with new starters to the team

·         Attend / chair regular PA meetings where required

·         To ensure the virtual global teams i.e. the PA and Team Assistants within department work together on a friendly and collaborative basis, thereby ensuring that each business unit integrates and operates on a seamless basis. This role will also cover for other Assistants’ time away from the office e.g. holiday and sickness.

·         IT skills: excellent Microsoft PowerPoint and Outlook skills required. Sound knowledge of Microsoft Excel and Word. SAP experience is desirable

·         Time management: punctual and flexible where necessary, works efficiently and completes each assigned task in accordance with agreed timelines

·         Self-motivated, enthusiastic, driven, sets priorities

·         Guiding and teaching: Instructs others with less knowledge or skills by explanation, demonstration, coaching, answering questions, or by providing verbal support. Understand the company policy/directives and encourage colleagues to follow respectably

·         Enjoys working in a dynamic and fast-paced environment


Language requirement

Japanese is essential
