Job profile


This role reports into the General Manager, Managing Director’s Office and provides efficient and professional executive secretarial support to the CAO/CFO and Director/Senior Adviser.

The role also oversees 3 Team Secretary and 2 Administrator/Secretary positions working within the organizations.






(Main duties)

·          Administrate and manage SAGE200 or other accounting system, with support from ITS and third party support company

·          Prepare/review payment instruction to banks upon requests from subsidiaries; for certain subsidiaries, authorise payments upon receipt of Payment Authorisation Order

·          Provide accounting and tax support as to correct accounting or tax treatment for new and continuing special purpose companies in UK

·          Prepare and review monthly/quarterly management accounts with information and instructions provided by subsidiaries

·          Prepare quarterly reporting consolidation packs to parent company within limited timescales

·          Prepare/review UK VAT returns

·          Supervise a member of staff preparing accounting postings and tax of supplier invoices, expense claims and journals in management of accounting and tax matters for EHQ

·          Manage quarterly accounting closing, preparation of accruals and reconcilliations, liaise with relevant departments for completeness of costs for EHQ

·          Prepare quarterly financial reports, annual budget, variance analyses for EHQ

·          Prepare annual corporate tax return and quarterly instalment payments for EHQ


(Duties with/without manager support)

·          Liaise, plan and prepare for annual audit, including preparation of draft financial statements and assisting auditors for completion of audit process

·          Liaise with HMRC, tax advisors and subsidiaries, plan and prepare for UK corporation tax return (including transfer pricing and thin capitalisation matters), corporation tax payments, transfer pricing documentations and SAO documentations

·          Arrange liquidation/striking-off process

·          Planning of Group Tax Relief among UK group companies

·          Deal with ad hoc issues and projects as they may arise

·          Complete monthly, quarterly and annual multi tasks of accounting and tax areas in timely manner

·          Increase the number of SPCs to handle and to work with more complex and difficult areas of accounting and tax



·          Ability to work under pressure and cope with tight and fixed reporting deadlines

·          Ability to multi task whilst being able to prioritise

·          Professional accounting qualification with post qualification practical experience

·          Knowledge of UK/IFRS accounting and UK corporation tax

·          Strong Excel skills

·          Excellent communication skills at all levels

·          Excellent reporting and analysing skills

·          Fluent written and verbal English language skills

·          Fluent written and verbal Japanese language skills due to requirement to liaise with Tokyo Head Office




·          Knowledge of SAGE200 accounting system

·          Working knowledge of international accounting rules

·          Good understanding of general internal control




Monday to Friday 9:30am to 5:30pm

In the quarterly closing seasons, some overtime work or weekend work may be requested. These hours are subject to a regular review and times may be varied by management SALARY AND BENEFITS

Basic Annual Salary:   

£35,000 - £40,000 per annum (depending on experience)
