Office Manager

 

Job profile

A young and exciting Japanese company producing specialist devices for musicians is establishing its office in London and is looking for an experienced Office Manager.

 

Reporting to

Reporting to the Managing Director

 

Main responsibilities

You will be expected to become a key person in organising management of the new office, working with both internal and external stakeholders, performing daily administrative duties, and supporting the Managing Director when required.

 

·         Day to day office management, acting as the first contact for external stakeholders and contractors, liaising with accountancy firms on financial reporting

·         Arranging appointments with clients

·         Controlling and updating product catalogue/leaflets

·         Sending out products and samples, checking stock, daily cost management

·         Liaising with government bodies (HMRC, Home Office) when required

·         Coordination work with Japan HQ

·         Preparation and arrangement of meetings and business trips, supporting business trip requests from HQ

·         Arrangement and execution of special office events (e.g. opening party, etc)

·         Other ad hoc tasks and projects

 

Required and beneficial skills

·         Strong passion for music: e.g. able to play an instrument, graduated from a music school, can read sheet music…  Avid classical music fans are also welcome

·         Experience of working in a Japanese office environment

·         Some level (2-3 years) of relevant work experience is a strong preference

·         Great multicultural communication skills and competence, ability to tackle work with diligence

 

Language requirements

Fluent English and Japanese required

University degree or equivalent level

Depends on experience and skills

Hours

Mon – Fri 9:00 am - 6:00 pm (40 hours per week)
