Job Profile

The role is responsible for administrative duties supporting the Accounting division, including bookkeeping, invoicing, expense budgeting and support with reporting to Head Office.


Main Responsibilities

The following are the principle responsibilities of the role and the job holder may be asked to undertake additional tasks at any time that are within capacity and competence.


Budgetary control

·       Support in collating budget forecasts and analysis

·       Participate in preparing the branch budget application to HO

·       Process payments to third parties and maintain updated records of invoices

·       Flag any unplanned or questionable expense requests, additional budget applications and other unusual payment requests to line manager

·       Contribute to procedural manuals writing/ updating to improve efficiency of budgetary work


Administrative duties/Branch Support

·       Monitor internal accounting databases, spreadsheets, vendor files

·       Track expenses and produce monthly reports

·       Enter and upload invoices into system

·       Monitor accounts to ensure payments are up to date and the correct accounts have been used as per internal accounts codes

·       Check expense application forms and escalate discrepancies and issues to the line manager

·       Reconcile monthly invoices

·       Monitor daily emails and HO bulletin board to communicate changes and notices received

·       Provide supporting documentation for audits


Accounts and Tax, other Support

·       Maintain and update the status of accounts receivables and payables

·       Maintain accurate records of paid invoices

·       Responsible for receiving and verify bills and requisitions

·       Support Business Application Administrator jobs as requested

·       Ad hoc support as requested

·       Liaison with HO relating to budgetary control (under CM or line manager direction)



Who we are looking for

·       Must be fluent in Japanese and English both written and verbal

·       More than 2 years professional experience in similar function or equivalent degree

·       Self-motivated, sociable, proactive, and result-oriented professional

·       Good team collaboration and communication skills

·       Good PC Skills, including Word, Excel & Power Point
