Position: Finance & Admin Manager
Salary: Euro 5,000-6,000 per month
Location: Rotterdam
DUTIES/RESPONSIBILITIES/ ACCOUNTABILITIES
Supervisory
Recruit, train, mentor, and evaluate direct reports.
Track departmental goals and targets, ensuring they are met or exceeded. When objectives fall short, develop and implement recovery plans to realign performance.
Responsibilities
Serve as overall leader for the Finance & Administration Department.
Establish clear policies and provide guidance on all finance and administrative matters.
Ensure accurate and timely reporting to management.
Drive long-term planning and continuous performance improvement for the department.
Act as the primary liaison with Head Office on finance and administration issues.
Financing
Authorize non-trade purchase invoices.
Oversee dealer payments, credit control, and management of bad or doubtful debts.
Manage supplier and payroll payments in line with optimal cash flow practices.
Ensure compliance with corporate reporting standards for transparency to Headquarters.
Maintain active control of working capital, including credit terms, inventory status, and cash flow.
Strengthen banking relationships.
Accounting
Continuously improve business processes for operational efficiency.
Oversee month-end journal entries (depreciation, accruals, provisions) and ensure accuracy in ERP systems.
Manage month-end, quarterly, and year-end closing activities.
Prepare audit schedules and ensure compliance.
Submit financial reports (monthly, quarterly, yearly) via DIVA system with supporting documentation.
Coordinate with external auditors and tax advisors on audits and tax matters.
File monthly tax reports (VAT, EU Sales List, Intrastat) and annual corporate tax returns.
Prepare transfer pricing documentation with external support.
Human Resources
Process monthly payroll in collaboration with external partners.
Manage employment contracts and related adjustments.
Supervise time tracking systems and monitor leave balances.
Handle salary, allowances, and payroll tax payments.
Liaise with occupational health service providers.
General Administration
Maintain approval workflows with Headquarters (Resolution Slips).
Oversee insurance coverage for staff, office assets, and cybersecurity.
Manage office facilities and act as point of contact for property owners.
Administer company vehicles and liaise with leasing firms.
Respond to stakeholder surveys (banks, regulatory bodies).
Planning & Decision Support
Contribute to the development of strategic, operational, and action plans forming the basis of company budgets.
Support revisions of operational and action plans for accurate forecasting.
Collect and consolidate business data, assumptions, and trends from managers to create comprehensive plans.
Guide managers in systematic data gathering for budget and forecast preparation.
Manage working capital requirements effectively.
Oversee treasury functions, including cash flow and foreign exchange management.
Maintain relationships with auditors, tax advisors, bankers, and legal counsel.
Assurance & Compliance
Ensure compliance with external statutory and regulatory requirements and internal reporting standards.
Adhere to accounting policies and country-specific GAAP for statutory audits.
Maintain legal and commercial records, contracts, and agreements.
Manage risk across business, financial, safety, and compliance areas.
Update and maintain mandatory legal documents (e.g., RI&E).
Funding
Ensure corporate reporting routines for transparency to Headquarters.
Actively manage working capital, including credit terms, inventory, and cash flow.
Strengthen bilateral banking relationships.
Education / Experience
Degree in Accounting/Finance with CPA/ACCA or equivalent certification, or
Minimum 10 years leading finance and administration in a mid-sized organization.
Other Requirements
Fluent in English (spoken and written).
Advanced MS Word/Excel skills (formulas, pivot tables); Power BI preferred.
Experience with Business Central or Dynamics NAV desirable.
Knowledge of J-SOX compliance.
