Job profile

Japanese logistics company currently are looking for a Payroll & HR Assistant  to provide support for HR&GA department.


Main Tasks and Responsibilities
Key areas of responsibility:

- Payroll
Process site Payroll and Modified payroll monthly and accurately.
Undertake pension scheme administration for all sites and ensure compliance with
pension regulations.
Conduct administration on AOE (attachment of earning), CSA (Child Support Agency),monthly pension payment arrangement and monthly payment arrangement for the
Company.
Ensure all returns such as P60, P45 to be issued to comply with regulations.

- Expatriate Administration
Provide support to Japanese expats with arrangements of accommodation, income tax
declaration and visa related matters.
Arrange Skilled worker visa and ensure all documents are kept for compliance.
Liaise with Japan HR for expats HR administration.

- Site HR Representative
Manage new starter and leaver processes, ensuring these are effective.
Ensure managers and staff are aware of the HR policies and procedures and any amendments to these, and able to operate them effectively.
Work closely with senior and line managers, providing them with expert guidance and support, coaching, and the full range of HR activities in order to ensure a consistent approach to people management.
Advise staff as and when required, keeping line management in the loop, and referring back to management when possible.
Maintain training records for staff and assist with any training initiatives as required.
Manage local employment records and information on databases and paper files, ensuring it is updated in a timely and accurate manner and complies with any legal requirement.
Monitor and review the performance management system and propose changes as necessary, but all the while ensuring that appraisals are carried out in a timely and effective manner, and followed up.
In consultation with line managers, follow up individual development needs and source external training provision as and when required, monitoring any training against budget and effectiveness.
Monitor sickness and absence levels, guiding managers when to take action, and what action to take.
Manage maternity and paternity leave from the first knowledge to the return to work.
Manage any flexible working requests in line with operational needs.
Manage health and safety issues and medical referrals.
Assist with the annual salary review implementation as required.
Manage investigations, disciplinary and grievance matters.
Provide advice on individual employment relations cases, ensuring that these are well managed, meet the requirements of Company’s policies, best practice and employment legislation, coaching the manager involved at all stages.
Provide any other HR related task in line with other HR Site Representatives.

- Others
Maintain office supplies/printings and arrange orders.Support maintenances of all facilities in good conditions at the site.
Keep record of company cars up to date and provide any support as required.
Ensure staff are informed on a regular basis of any site, key business or organizational issue.
Keep soft copy and paper filing up to date, secure and accessible to only those responsible / authorised to access.
Assist preparing reports to be submitted to Japan HQ.
Support marketing activities with updating social media.

- General:
Ensure that all confidential knowledge and information is not divulged to any third party.
Adhere to all Company policies and procedures.

Skills and Experience
• Fluent English & Japanese language skills are essential, both verbal and written
• Previous administration experience
• Good Word, Excel, PowerPoint and Outlook skills
• A professional approach with excellent interpersonal skills
