A Japanese global trading company is looking for PA to MD who provides a full Personal Assistant service to the Managing Director and administrative support to their Project/Team

 

Reporting to

 

Managing Director

 

Role Summary

 

Main Duties:

 

·         Organising and maintaining diaries

 

·         Business travel arrangements (flight bookings, hotels, visa, car etc.)

 

·         Arranging meetings, dinners, lunches etc. and booking restaurants

 

·         Administering monthly company credit card & cash expense claims

 

·         Correspondence for attendance of regular meetings for the MD

 

·         Administrative support as needed to the MD and the Director - General Affairs and HR

 

·         Record keeping and data base management as needed

 

·         Any other administrative duties that may be instructed by the MD and the Director- General Affairs and HR

 

·         Liaison with Finance for payment of invoices as required

 

·         Regular contact with Tokyo Head Office and other overseas offices

 

·         Contact with clients as required

 

·         Preparation of presentations as required

 

Additional Duties:

 

·         Meeting and greeting clients

 

·         Answering and forwarding phone calls

 

·         Arranging couriers and sorting post

 

·         Providing general administrative support to their Project/Team

 

Skills & Competencies Required

Native level Japanese and good English written

·Excellent track record of PA experience

 

and verbal communication skills

·Extensive office administration experience

·

Open, honest approach and a good team player

·Excellent Microsoft Office experience and skills

·

Able to work in a multicultural global business

– Outlook, Word, Excel, PowerPoint etc.
