JOB DESCRIPTION
- PURPOSE OF THE JOB
- To support the Business Support Department to manage operations and facilities across Their UK & Ireland offices.
- To act as the receptionist for the head office, London.
- To support the Business Support Department to manage operations and facilities across Their UK & Ireland offices.
DUTIES AND RESPONSIBILITIES
- Answer calls in a professional manner and take and pass on messages to relevant staff members or teams.
- Meet and greet visitors and sign them into the head office.
Distribute daily post and parcels to correct recipients.
- Use PPI’s Online Business Account (OBA) for large volumes of post.
- Arrange couriers, taxis, and minicabs as and when required.
- Book hire car requests and register vehicles on motor insurance database.
Collate and order stationery requests as and when required.
- Co-ordinate sorting, storage, and collection of all recyclable items
- Arrange replenishment and storage of consumables associated with cleaning and hygiene.
Process operations and facilities related supplier invoices on a weekly basis
- Assist the Business Support Coordinator to manage external cleaners and ensure service is to a good standard.
Assist with office opening and closing procedures to safeguard security and ensure the office is fully functioning every day.
- Liaise with sub-contractors as and when requested.
- Liaise with other Team Administrators regarding ongoing maintenance in regional offices.
- Assist with organizing all manner of office repairs to furniture, flooring, carpets, etc.
- Assist with organizing minor internal moves within and outside the head office.
- Oversee office opening and closing procedures to manage security and ensure the head office is fully functional and ready for business at start of each working day.
- Assist with, and help promote and implement the company’s Health & Safety Policy
- Check and report to the Business Support Operations Manager any concerns in relation to staff health and safety.
- Facilitate UK&I staff to work from home as and when necessary and purchase furniture and office equipment (non-IT such as printers).
- Assist members of the Business Support team as and when required.
Attend meetings as and when required. There may be a necessity for these to be outside of normal working times and travel may be involved.
