JOB DESCRIPTION
Merchandising operations
- Managing end-to-end ordering process for replenishment and new products including receiving purchase requisitions, evaluating quotes, raising and processing purchase orders in agreement with Merchandising Team managers
- Collation, distribution and analysis sales and performance reports, identifying trends, trading patterns and highlighting anomalies.
- Provide Merchandising Team managers with essential information regarding orders and deliveries on all lines to ensure deliveries are on time.
- Build and maintain communication with external suppliers to ensure the smooth flow of goods to the company.
- Monitoring delivery dates liaising with logistics providers/couriers and suppliers and update Stock Controller
- Provide up to date information to the team on product launch schedules
- Assisting translation of product name from Japanese to suitable English name according to guidelines.
- Registering new product information to the retail system and maintaining SKU information to be ready sold in the shop and online.
- Establish and maintain up to date price lists, implementing price changes as directed by Merchandising Team managers.
- Ensure the accurate and timely delivery of stock by managing supplier relationships and communicating any issues to Merchandising Team and the wider team where relevant
- Use competitor and market analysis to identify opportunities to improve/increase sales performance
- Monitoring invoices are paid on time by ensuring information is communicated to the Finance team.
- Following up in cooperation with Merchandising Team managers and Finance team if there are any issues with payments and supplier information
- Maintaining filing system on Shared drive (PO, invoice, supplier details, contracts etc)
- Issuing new launch product list to help REA team in serving customers.
- Assisting with product information and queries from REA team or customers.
- Providing back in stock communication to REA team
Stock Management & Reporting
- Liaising with the Stock Controller, ensuring that all physical stock is cared for during its journey from source to sale.
- Ensure allocated ranges are kept in stock as per set range plans. Regularly review replenishment levels to ensure maximum store performance and raise any issues with the Merchandising Team.
- Maintaining accurate and up to date stock levels to ensure there is enough stock cover across each category and ensure reordering.
- Manage the Delivery / Intake Schedule, ensuring that pricing is correct and any residual order balances are cancelled or chased with the supplier as appropriate, to maintain accuracy.
- Monitoring stock movement records.
- Liaise with Stock Controller regarding inventory held with external storage provider.
- Creating weekly sales reports to spot trends, best sellers, opportunities as required.
- Creating periodical inventory reports to monitor stock levels as required.
- Managing non-inventory purchases (shop supplies, ingredients, and consumables for the Stand)
- Monitor level of stock of non-inventory items and ensure timely reordering.
Risk Management
- Develop and maintain a product risk register.
QUALIFICATIONS & EXPERIENCE
- 3+ years of experience of working in a high-end retail merchandising role
- Batchelor’s degree or equivalent
- Experience of and competent user of an inventory management and other retail IT systems
- Japanese language skills, both written and spoken
- High standard of business analytical skills
- High business standard English language skills are essential
- Excellent level of MS Office suite including advanced Excel skills including VLOOKUP’s and SUMIF’s
- High level of numerical and analytical skills
- Strong commercial awareness and negotiation skills
- A high level of personal drive & commitment
- Ability to multi-task and prioritize work
- Excellent attention to detail
- Excellent time management skills
- An understanding of Japan or Japanese cultures would be an advantage
- Support the culture of service excellence, both internally and externally and good team player
- Good communication skills (written & verbal)
- Reliable, well organised and ability to prioritise workload
- Good at problem solving
