Job title: Sales Assistant & HQ Admin Support
Location: Amsterdam (on-site)
Salary: up to EUR47K/annual
Key Responsibilities
Sales Assistant (approx. 80%)
Collect and verify information for RFQs (Request for Quotation) from clients
Request rate quotations from branches and partner companies and obtain offers
Organize received quotations and manage internal approval processes
Submit quotations to clients and follow up (mainly FWD and CL projects)
Review quotation details and GP ratios, support approval
Input and update sales progress in SFA (Sales Force Automation system)
Maintain communication with key clients (including relocation customers)
Coordinate with branches to ensure project completion
Support troubleshooting
Participate in weekly meetings with related members
Handle various administrative tasks related to sales (quotations, contracts, invoicing, etc.)
HQ Administrative Support (approx. 20%)
Assist with scheduling and meeting arrangements for HQ members
Support document preparation, filing, and internal paperwork
Assist with contract and invoice verification and processing
Respond to inquiries and document requests from branches
Handle expense processing and data entry
Support internal events and travel arrangements
Requirements
Mandatory
Practical experience in forwarding or logistics industry (approx. 3+ years)
Business-level English communication skills (email and conversation)
Strong coordination and task management skills across multiple departments
Proficiency in basic IT tools such as Excel and SFA
Preferred
Ability to communicate in Japanese
Experience working with Japanese companies or clients
Understanding or interest in Japanese business culture

Compensation & Working Conditions
Working Hours: 8:30–17:00 (primarily office-based, 5 days/week)
